Signing documents on JioSign

Here are our answers to the most frequently asked questions about JioSign

1. I cannot find the invite I received. How can I sign/view the document(s) I have been requested to sign or have signed before on JioSign?

Go to JioSign.com and log in using the same email ID or mobile number on which you had previously received the invitation for signing.

2. I am not getting an invite or OTP from JioSign. What should I do?

If you are using a work email ID, please check with your IT support to ensure that the email firewall is not blocking emails from jiosign@jio.com. Ask your support personnel to whitelist emails from the jio.com domain.
If you are using a personal email ID, please check in your SPAM folder to ensure that emails from jiosign@jio.com are not being automatically moved to junk. If you are using a mobile number that is not from India, kindly note that JioSign does not support non-Indian mobile numbers at present. Please use an Indian mobile number or an email ID to use JioSign.

3. How can I inform others that I have completed my signature?

Once you have successfully signed a document, you will see a document successfully signed message on the screen. Below that message, you can see an option to “Send a notification to participants who have not requested a notification. Click on the send notification button next to the participant’s name to whom you want to send the notification.

4. How can I add a comment for the document owner and participants while signing?

While signing a document, you will see an ‘add comments’ text box on the right side of the document. Fill in the comments you want to share with the document owner and the participants. Once you are finished the document signing, your comment will be visible in the document details.

5. How can I add a comment for the document owner and participants while declining a document?

When you click on the decline document, you can see a popup to ‘confirm decline signing’ with a textbox to enter a comment or reason for declining. You can fill in this text box with your comment and click confirm. Your comment will be visible in the audit trail document.

6. How do I sign a document which requires multiple signatures?

While signing a document that requires multiple signatures, you can click on Adopt all signatures on the signing page. By clicking on ‘adopt all signatures’, you will be able to adopt multiple signatures with just one click.

7. How do I know where all I have to sign on a document is?

While signing a document, you will see a panel on the right side with ‘your signature required’ on the top, which will list all signatures that need to be adopted by you. You can click on each signature location in the list to navigate directly to where you need to sign.

8. Why am I not able to delete a document I am signing?

As a document participant, you can only delete a document once you have either signed or declined it. So, if you cannot delete a document, try to check the sign or decline status. If this problem persists, please get in touch with us.

9. How can signers view the supporting documents while signing?

Document signers can view the supporting document on the document signing screen. All uploaded supporting documents are visible on the right’s small ‘supporting document’ panel. Signers can click on the supporting document name to view it. If the documents can be viewed, it will open the document in a new tab. Otherwise, the document will be downloaded.

10. Can I add a supporting document to a document I have received for signing?

Document signers cannot upload any supporting documents to the document received for signing. Also, document owners cannot modify the supporting document once it is sent to the participants for signing.

11. Do I need to sign the supporting document?

The supporting documents are not required to be signed. These are just used as references or supporting docs to the actual document.

12. How can I view the supporting document after a document is signed?

You can view the supporting document by going to the ‘view document’ page and clicking on the ‘view’ button in front of the signed document name. Under the ‘view document’ section, you can see a small panel at the right that lists all the supporting documents. You can click on the document name to see the supporting document.

13. Why am I receiving an OTP from JioSign while signing a document?

JioSign is a digital signing solution used by numerous businesses to enable document signing on their platform. If you are receiving an OTP from JioSign, it must be because you are signing a document on a platform that uses the JioSign API for document signing.

14. How do I share my signing device location while signing the document?

Share signing device location while signing the document by enabling the “Allow to capture device location” button, as shown below:

15. How do I sign a document on JioSign using e-Signature?

You will receive an invitation via email or SMS to sign a document using e-Signature. To sign the document, follow the steps:

  1. Click on the link in the invitation to sign the document (or if you haven’t received the link then simply log on to JioSign.com with the same email ID or mobile number on which invitation has been sent for signing).
  2. Login to JioSign by verifying your OTP.
  3. Click on Adopt All Signature. When you sign a document for the first time, you need to create your signature and initials while signing. You can do that by drawing over the screen, uploading an image of the signature, or typing your name and selecting a font to create the signature. Once your signatures are saved, you can use them the next time.
  4. Click on finish and you will receive a success message confirming you have signed a document.
16. Can I change the eSignature that I have already created?

Yes, you can modify the e-signature signature already created by you:

  • Go to profile settings.
  • Select the add new option

Kindly note that this only applies to any signatures thereon and will not change any previously signed documents.

17. I have changed my e-signature in my profile. Will the signatures on the already signed documents also change?

No, the signatures that are already completed can’t be changed.

18. I am not able to upload my signature image file and get an error message every time. What should I do?

While uploading a signature picture file, please ensure that:

  • File size does not exceed 1MB.
  • Image size is as per following specification.
19. Is e-Signature or digital signature admissible in court?

Digital signatures and e-Signatures are statutorily recognized as the most secure kind of electronic signatures, since they allow authentication of documents using encryption and decryption mechanisms as contemplated under the IT Act, thereby ensuring integrity. Under the IT Act, for a mechanism of electronic authentication to qualify as an ‘electronic signature’, such technique would have to be (i) reliable, and (ii) specified under the second schedule to the Act.

20. What is virtual signature disclosure?

For every electronic document created and signed on JioSign, we add a virtual signature disclosure. This can be viewed on the last page of the PDF document being signed as soon as the first signatory has signed. The virtual signature disclosure shows details such as who signed the document along with the relevant date and time stamp. The details of each signatory are captured in the virtual signature disclosure which enables the users to verify who the signatory was and the date and time at which the signature was affixed by the signatories. To provide authenticity to the document, the JioSign platform countersigns the document with a digital signature after each signatory to the document has signed the document, which ensures that the document is tamper evident. Tamper-evident means that the document has not been interfered with after or before the signing of the document. It ensures that the integrity of the document that was uploaded by the user has remained intact.

21. Do I have to scan my signature and upload it?

In JioSign, you have three options for adopting a signature or initials:

  1. Select from the available styles – Type your name and select a font style by clicking on Change style. Select any one of them and click submit to adopt the signature.
  2. Draw your signatures – write your name and initials by drawing on the screen.
  3. Upload a picture of your signatures – Simply click a picture of your handwritten signature and upload the picture file.
22. Can I e-sign multiple documents at the same time?

Yes, you can sign multiple documents at the same time by using a feature called the bulk sign. To use the bulk sign:

  1. Go to the view document section and select the documents you want to sign.
  2. Click on the Sign button and select e-signature from the drop-down.
  3. Fill in your comments in the text box available and select confirm the signature.
  4. Verify using OTP, and you have signed multiple documents in one go using bulk signing.

Note that your comment during bulk signing is shared across all the documents you are signing.

23. Can I decline multiple documents at the same time?

Yes, you can decline multiple documents at the same time by following these steps:

  1. Go to the view document section and select the documents you want to decline.
  2. Click on the decline button.
  3. Fill in your comments in the text box available and select confirm decline.
24. How do I sign a document on JioSign using a DSC token?
  • Plug the DSC token into the laptop/desktop before initiating Sign.
  • Select the digital certificate that they want from the list displayed in the panel for that document.
  • Enter the PIN of DSC token and complete the signature.

Next time, when you want to sign a document, you can simply plug the DSC token to your laptop/desktop and follow the last two steps to sign the document.

25. I already have a DSC token, how can I start using the DSC token for signing documents on JioSign with DSC?

You need to download/install the JioSigner app and the software of your USB DSC token on your laptop/desktop. Once installed, choose the ‘Sign with DSC token’ on the document and proceed with signing. To install the JioSigner application you need to ensure the following:

  • Your desktop OS is Windows 10 64-bit OS.
  • It supports Java 1.8+.
  • Install the USB driver from the DSC provider.
  • Your certificate is a valid Class 2/Class 3 certificate issued by CCA approved issuer.
26. I am an enterprise user and use a laptop/desktop provided by my organization. I am not able to install JioSigner app. What should I do?

If you are using a laptop/desktop that belongs to your employer, please check if there are restrictions for installing software. You might need to contact IT support at your organization. If you are using a personal laptop, kindly check that you have permissions to install new software on this laptop. If you are still facing issues, please write to us at jiosign@jio.com.

27. Do I need to start the JioSigner app every time before I start signing a document on JioSign with DSC token?

Once you have installed the JioSigner app, there is no need to start it everytime you want to sign a document. It runs on your system in the background as a service.
