Sending documents on JioSign

Here are our answers to the most frequently asked questions about JioSign

1. Why is JioSign not allowing me to upload a Word file, which I want to send for signing?

JioSign at present supports signing only PDF files.

2. Can I upload a document for others to sign where I am not a signatory or can someone else add me as a non-signatory participant to their document?

Yes. You can add a participant and select the ‘view only’ option in the signature settings. The participant with view-only access can only view and download the document but cannot sign it.

3. I want the participants in the document to sign in a specific order, can I define a signing order for my document?

Yes, you can define a signing order for the participants. In the add participants page, follow the steps shown below and then send the document for signing.

4. How can I self-attest documents on JioSign? Can I upload and sign documents by myself without any other signatory required?

To self-attest and upload and sign documents on your own, follow the steps below:

  • Upload the PDF document.
  • Add yourself as a signatory participant.
  • Select the signature type.
  • Place the signature box where you want the signature to appear on the document and send an invite.
  • On the “document successfully sent” page, click on the “Sign this document button” as shown below.

Now, click on Adopt all signatures. Click on finish, and you have self-attested your document successfully.

5. I have sent a document for signing; however, one participant is not available for signing. Can I add a new participant and replace them with the unavailable participant?

Yes, you can do so by following the below-mentioned steps:

  • Select the Edit Participants option.
  • Add another person as a participant and make the person who is not available a ‘viewer’ by unchecking the ‘Signature Required’ choice.

However, you will not be able to remove (delete) this unavailable person and they will remain as a ‘viewer’ for the document.
Note that viewers can see and download the document but cannot sign it.

6. Can the signing order be changed after sending the document for signing?

Yes, you can do so by selecting the option ‘Edit Participants’ and redefining the order against each participant.

7. Can I download a document that has been signed by one or more participants and then upload the same as a new document for one or more (additional) participants to sign?

You should not download and upload again as the platform records this as two different documents, each with its own audit trail. Any signatories on one document are not considered a signatories on the other. You should use the ‘Edit Participants’ feature on the original document on the platform to add new signatories and send invites.

8. How do I get other people to sign my document on JioSign? Can multiple people sign the same document?

When you are uploading your document to JioSign you will have the option to invite participants with their mobile number or email ID to sign the document. Once you submit the document for signing, the owner and/or the participants selected as signatories will receive an invitation by Email or SMS with a unique link. They can click on the link to go to JioSign and sign the particular document.

9. Can I add a participant in the document who is not supposed to sign but only view it?

Yes, you can add a participant who can only view the document. To do so, select the ‘view only’ option while adding the participant.

10. Can I add more participants to a document that is already signed?

Yes, you can add more participants until the time you finalize the document. To add participants:

  • Go to the document.
  • Select the Edit Participants option. This option is available under the three dots displayed next to the document name.
11. How can I download a document I just signed?

Once you sign a document, you will be able to see a successfully signed message on the screen. Below the message, you will find an option to download a copy of the document. In addition to that, you can also go to the “view document” section and download a document by clicking on the button next to it.

12. Is it possible to attach an additional document for reference with the main document I am sending for signing?

Using the supporting document feature, you can easily attach your reference documents to any documents you send for signing.

13. Can I attach supporting documents while sending a document on JioSign to signers?

Supporting document features allow document owners to add or attach reference/backup documents to the main document being signed. When a signer signs the main document, the supporting documents will not get signed. These are just used as references or supporting documents for the main document.

14. How do you add supporting documents while sending a document for signing?

To add the supporting document while sending a document for signing, follow the below steps:

  • Click on the upload button as you normally would while sending a document for signing.
  • You will see the ‘supporting document’ tab next to the ‘signing document’ tab. Click over it and then click on ‘upload supporting document(s)’ to open the select document popup.
  • Now, select the file you want to upload as a supporting document, and you can add multiple documents by clicking on ‘add supporting document’. Once done, click on the next step to proceed.
  • This way, you can add supporting documents while sending a document for signing.
15. How can I control the access to supporting documents for participants?

After uploading the supporting documents, in the ‘add participants’ window, click on the ‘setting icon’ for every participant to control view access to the supporting document for participants. Please note that all the participants can view supporting documents by default.

16. How many documents can I add as supporting documents while sending the document for signing?

You can add up to 20 documents with a total size of 30 MB and an individual file size of 30 MB. You can add the following file format as supporting documents: .pdf, .xls, .xlsx, .ppt, .pptx, .doc, .docx, .jpeg, .gif, .dwg,.igs, .eml, .msg, .png, .jpg.

17. How do I capture the device signing location on the audit trail?

To capture device signing location, you need to enable the “capture signing device location details” button, as shown below:

18. How can I add a supporting document once the document is sent for signing?

You can add a supporting document once the document is sent for signing by clicking on edit against the document on the ‘view document’ page and then following the instructions as shown below:

Please note that supporting documents cannot be uploaded if any of the participants have signed or declined the document.

19. How can I stop document signers from commenting on documents while signing?

To stop document signers from adding signing comments, you need to disable the “signing comments allowed” button on the manage signature page, as shown below:
